Why Use OrderPilot?
Selling custom or made-to-order products on Shopify is rewarding work. But behind every bespoke sofa or custom furniture piece is a tangle of manual steps: order specs written in a notepad, vendor emails with no clear trail, and orders tracked through production in a spreadsheet. By the time it ships, something has gone wrong somewhere.
OrderPilot is built to eliminate that friction. It brings your entire custom order process into Shopify, from the first sale to final fulfillment, so nothing falls through the cracks.
The Problem With Custom Order Management
Shopify handles standard, ready-to-ship products well. But when every order is different, the platform alone is not enough. Most merchants end up piecing together a mix of spreadsheets, email threads, and sticky notes to manage the gaps. The result:
- Order details get captured inconsistently, and mistakes slip through to production.
- There is no structured approval process, so errors are only caught after work has already started.
- Purchase orders are created manually, which takes time and introduces room for error.
- Inventory does not reflect custom orders until someone remembers to update it.
- Customers have no way to check on their order without calling or emailing the store.
- Critical order details get lost when communication is scattered across different tools.
The more orders you take, the harder it gets to manage. OrderPilot replaces this patchwork process with a single, structured workflow inside Shopify.
What Makes OrderPilot Different from Other Solutions?
A few third-party tools address parts of this problem, but none of them cover the full order lifecycle. Here is how OrderPilot compares to working without a dedicated tool:
| Feature | Without OrderPilot | With OrderPilot |
|---|---|---|
| Advanced attribute builder with text, dropdown, and numeric fields | No | Yes |
| Internal order review and approval workflow | No | Yes |
| Purchase Order Workbench (Bulk) | No | Yes |
| Automatic Shopify inventory sync | No | Yes |
| Custom order and workflow statuses | No | Yes |
| Digital signature and partial deposit | No | Yes |
| POS Extension support | No | Yes |
Note: OrderPilot works as a Shopify embedded app, meaning everything runs inside your existing Shopify Admin and POS. There is nothing separate to log into.
Key Benefits
Get Up & Running in About 30 Minutes
You don't need to build a complex product catalog before you can take your first order. OrderPilot comes with a pre-loaded open-ended product attribute, so your team can start capturing custom orders almost immediately after installation.
Get Every Order Detail Right the First Time
Custom attributes let your sales reps capture all product specifications during the sale, from fabric choices to special requests to add-on pricing. These fields are attached directly to the order in Shopify, so nothing relies on memory or handwritten notes. When a manager reviews the order, all the information is right there.
Build a Structured Approval Process
The built-in review workflow routes every new order to the right person before production begins. Production Manager can approve, request changes, or reject an order with a click. If changes are needed, the sales representative can update the order without starting from scratch.
Create Purchase Orders in Three Clicks
The Purchase Order Workbench lets you select multiple approved orders, group them by vendors, and generate purchase orders in bulk. Each PO automatically pulls in all custom product details. Download it as a formatted PDF and send it straight to your supplier.
Adapt the Workflow to Match Your Business
The Workflow Editor lets you define your own order statuses and decide which ones are visible to customers. Whether your production process has three stages or twelve, the app maps to the way you already work rather than forcing you into a rigid system.
Keep Inventory Accurate Without Extra Work
When a custom order is created, the app generates a product in Shopify so you can track inventory natively. When a purchase order is marked as “Received”, inventory counts update automatically. Your team always knows what is in stock and what is still on order.
Take Orders in-person With the POS Extension
OrderPilot POS Extension gives your floor sales representative access to the same order-creation tools directly in Shopify POS. They can take custom orders, accept partial or full deposits, and print receipts without needing access to the Shopify Admin.
Customers Get a Clear, Professional Quote
Once an order is captured, the customer receives a printable PDF quote that shows exactly what they ordered, including all custom specs and notes. They can review everything and sign it for confirmation.
Fulfillment Works Through Shopify's Native Tools
Once the made-to-order item arrives from your supplier, you fulfill it using Shopify's standard fulfillment workflow. There's no separate system to learn and no duplicate data entry.
How the Workflow Comes Together?
Here is what the end-to-end process looks like once OrderPilot is set up:
| # | Who | What Happens |
|---|---|---|
| 1 | Sales Rep | Creates a custom order in POS or Shopify Admin, filling in custom attributes for product specifications and pricing. |
| 2 | Production Manager | Reviews the order from a dedicated queue. Approves it, requests changes, or rejects it. |
| 3 | Procurement Manager | Selects approved orders in the Purchase Order Workbench, generates a PO grouped by vendor, and sends the PDF to the supplier. |
| 4 | Procurement Manager | Marks the purchase order as received when goods arrive. Shopify inventory updates automatically. |
| 5 | Fulfillment Manager | Fulfills the customer order using Shopify's native fulfillment tools. The custom product details are visible at every step. |
| 6 | Customer | Reviews quotes and invoices, signs, and pays for the order. |

The 14-day Free Trial
You can explore the entire feature set for 14 days before being charged. If the app isn't the right fit, you can uninstall before the trial ends with no cost.
The free trial gives you access to every feature in the Professional plan, including the POS Extension and the Purchase Order Workbench. You don't need to upgrade to test anything.
When Your Trial Ends
At the end of the 14-day trial, you'll be prompted to subscribe to continue using the app. If you don't subscribe, the app will stop processing new orders, but your existing order data in Shopify remains intact.
Cancellation
You can cancel your subscription at any time in the Shopify admin. Your Shopify order history and any products the app generated will remain in your store after cancellation.
Before canceling, download any purchase order PDFs or quotes you want to keep. Some app-generated documents may not be accessible after the subscription ends.
Is OrderPilot the Right Fit for Your Store?
Here are a few questions to help you decide:
- Do your products have options that Shopify's standard variants can't capture?
- Do orders need to go through an internal review or approval before work begins?
- Do you purchase materials or products from vendors after receiving a customer order?
- Are you currently managing any part of this process outside Shopify?
If you answered yes to most of these, OrderPilot is built for your workflow. If your orders are mostly standard and don't require custom specs or vendor procurement, you may not need everything the app offers.
Let's Get Started
Free trial is a good place to start. Install the app, work through a test order with your team, and see how it fits into your existing process. Most merchants are up and running within 30 minutes of installation.
